This privacy notice describes how Prowde’s Educational Foundation (‘the Charity’ or ‘we’) collects and uses your personal information during and after your relationship with us.
We are a data controller. This means we are responsible for deciding how we hold and use personal information about you, and for explaining this clearly to you.
This notice applies to prospective, existing and former applicants for grants from the Charity, including individuals and representatives of organisations who apply on behalf of a grantee.

Information We Collect
We collect personal information directly from you when you enquire about our grants, apply for a grant, or when we give funding to grantees.
Self applicants — we collect:
- Name and contact details (address, telephone number, email address)
- Date of birth
- Any further information provided in support of your application
- Bank account details
Third party applicants — we collect:
- Your name, job title and organisation (if relevant)
- Your contact information (address, telephone number, email address)
- The grantee’s name and contact information
- Any further information provided in support of the application
We may also collect information about you or the grantee from sponsors in support of the grant application.
Legal Basis for Processing
We will only use your personal information when the law allows us to do so. We most commonly use it where:
- It is necessary for our

- We have your consent
How We Use Your Information
We use your personal data to:
- Consider the merits of your grant application
- Communicate with you to discuss the application
- Inform you whether the application is successful
- Send funds to successful applicants
- Monitor grants that have been paid
- Facilitate the operation of the Charity and protect its interests
- Prevent fraud and ensure grantees comply with grant terms and conditions
We will only use your information for the purposes for which it was collected. If we need to use it for an unrelated purpose, we will notify you and explain the legal basis.
Sharing Your Information
We may share your information with:
- VWV (Veale Wasbrough Vizards) — our charity administrators, who administer the Charity on our behalf
- Your Charity Commission , as part of our charity reporting requirements
- Consultants, experts and professional advisors (including legal advisors and accountants) where relevant to their work
We will only transfer your personal data outside the Charity if it is going to a country which the UK government considers to have adequate data protection laws.
How Long We Keep Your Information
We retain your personal information only for as long as necessary to fulfil the purposes it was collected for, including satisfying any legal, accounting, or reporting requirements.
To determine the appropriate retention period we consider the amount, nature and sensitivity of the data; the potential risk of harm from unauthorised use or disclosure; the purposes for which we process it; and the applicable legal requirements.
Your Rights
You have the right to:

- Object to the processing of your personal information
- Request correction of inaccurate personal data
- Ask us to delete information we hold where there is no good reason to continue processing it
- Ask us to restrict how we use your personal information in certain circumstances
- Ask us to transfer information you have provided to us to another organisation in a machine-readable format
- Withdraw consent where we rely on consent to process your information
